How to create footnotes for multiple authors

If you are using a Version 2.5 Style Editor style to create your document, you can enter the names of several authors in the front matter. Further, you can create a footnote for each one. The process differs from the creation of ordinary footnotes, however, because you must create the footnote mark in the front matter and the text of the footnote in the body of the document.

Note For these instructions to work, you must have the latest version of the basic style file called sebase.cls. If you don't have the latest version, you can download sebase.cls from our ftp site.

  1. Download sebase.cls if necessary:

    1. From the SW Help menu, choose About SW.

    2. Read the Build Number from the About SW screen.

    3. If you have build 457 or earlier of SW 2.5, close SW and download the latest version of sebase.cls from our ftp site, then restart SW.

  2. Open your SW document.

  3. From the File menu, choose Front Matter.

  4. Create an author entry for each author.

  5. After each author's name, create a footnote mark:

    1. From the Insert menu, choose Field, then choose Note.

    2. Choose Options.

    3. Click the Mark Only button.

    4. Choose #.

    5. Choose OK to close the Footnote Options dialog box.

    6. Choose OK to close the Note dialog box.

  6. Choose OK to close the Front Matter dialog box.

  7. At the beginning of the body of your document, create the text of each footnote:

    1. From the Insert menu, choose Field, then choose Note.

    2. Choose Options.

    3. Choose the Text Only button.

    4. Choose Override Automatic Number.

    5. Enter a number corresponding to the footnote. For example, if the footnote corresponds to the second author, you would probably enter the number 2.

    6. Choose OK to close the Footnote Options dialog box.

    7. In the edit field of the Note Text-Only dialog box, enter the text of the footnote.

    8. Choose OK to close the Note dialog box.

Note that you can use this method to enter footnotes for any front matter element that has multiple entries.
